Terms governing the SiteDay website, SaaS platform and mobile applications.

These Terms of Service (“Terms”) govern use of the SiteDay website, software platform and mobile applications (together, the “Service”). By creating an account, accepting an invitation, starting a trial or using the Service, you agree to these Terms on behalf of yourself and, where applicable, the organisation you represent.
1. About SiteDay
SiteDay is a cloud-based field service management platform provided by SiteDay Software Ltd, United Kingdom. Contact: support@siteday.pro.
2. Organisation accounts and administrators
The organisation subscribing to SiteDay is responsible for its account, authorised users, staff roles, the accuracy of account information and all activity performed through its users. Administrators may invite, deactivate and manage users. The organisation must keep at least one active administrator able to manage the account.
3. User accounts and security
Users must provide accurate information, keep credentials confidential and notify their organisation or SiteDay promptly if unauthorised access is suspected. Invitations and password-reset links are personal, time-limited and must not be shared.
4. Starter subscription and licence minimums
Additional administrator and engineer licences may be purchased at the prices shown at signup or on the billing page. A licence permits one authorised user of the corresponding type. Pending invitations may reserve a licence. Deactivated users do not normally consume a licence, but their historical records remain in the Service.
5. Trials, pricing and taxes
Unless stated otherwise at signup, new subscriptions include a 14-day trial and require a payment method. Prices are shown exclusive of VAT unless expressly stated otherwise. Applicable VAT or other taxes are added by the payment provider. Promotional codes, discounts or agreed commercial terms may alter the amount charged.
6. Adding licences
Licence increases take effect when the requested subscription change and any required payment have been successfully accepted by our payment provider. The charge may be prorated for the remainder of the current billing period. SiteDay will show a billing preview where available, but the final amount is calculated by the payment provider and may vary slightly because of timing, tax, discounts or rounding.
7. Reducing licences
Licence reductions are scheduled to take effect at the next subscription renewal. No refund or credit is normally provided for unused time in the current billing period. Before a reduction can take effect, the organisation must reduce active or reserved users to no more than the new licence total. Licence totals may never be reduced below one administrator and one engineer.
8. Payment, invoices and failed payments
Payments are processed by Stripe or another payment provider identified at checkout. The organisation authorises recurring charges until cancellation. Billing details, payment methods and invoices may be managed through the hosted billing portal. Failed or overdue payments may result in a grace period, restriction, suspension or termination of access.
9. Cancellation
An administrator may request cancellation through the billing portal. Unless explicitly stated otherwise, cancellation takes effect at the end of the current paid billing period. The Service remains available until that date, subject to these Terms and payment status. A scheduled cancellation may be reversed before the end date where the billing portal permits it. No partial refund is normally provided for the remaining period.
10. Data after cancellation
Following cancellation, normal access may be disabled. SiteDay may retain Customer Data for up to 90 days to support account recovery, lawful requests and data export, after which it may be securely deleted or anonymised unless a longer period is required by law or agreed in writing. Organisations should export required records before cancellation takes effect. SiteDay may delete test, trial or unpaid accounts sooner where reasonable notice has been provided.
11. Staff deactivation and historical records
Removing operational access is handled by deactivating a user rather than deleting records. Historical job, visit, stock, audit and document associations may be retained for integrity, legal compliance and the organisation’s records. Privacy-related erasure or anonymisation requests are handled separately and may be limited where retention is legally required.
12. Customer Data
Organisations retain ownership of data entered into the Service (“Customer Data”). SiteDay does not claim ownership of Customer Data and processes it to provide, secure, support and improve the Service. Organisations are responsible for having a lawful basis to collect and process personal or operational data uploaded to SiteDay and for the accuracy, legality and integrity of that data.
13. Acceptable use
Users must not misuse the Service, attempt unauthorised access, introduce malicious software, interfere with platform operation, circumvent licence or billing controls, access another organisation’s data, or use the Service unlawfully. The separate Acceptable Use Policy forms part of these Terms.
14. Intellectual property
All intellectual property in SiteDay, including its software, branding, designs, documentation and underlying technology, remains the property of SiteDay Software Ltd or its licensors. Customers receive a limited, non-exclusive, non-transferable right to use the Service during an active trial or subscription.
15. Availability and changes
We aim to provide reliable access but do not guarantee uninterrupted operation. Maintenance, updates, third-party services, connectivity and technical incidents may affect availability. We may update the Service, security controls, supported devices and features where reasonably necessary.
16. Suspension and termination by SiteDay
We may restrict, suspend or terminate access for material breach of these Terms, non-payment, suspected fraud, security risk, unlawful activity, misuse, or where required by law. Where reasonably possible, we will provide notice and an opportunity to remedy the issue.
17. Liability
Nothing in these Terms excludes liability that cannot lawfully be excluded. Subject to that, SiteDay is not liable for indirect or consequential loss, loss of profit, loss of business, loss arising from inaccurate Customer Data, or operational decisions made using the Service. Customers remain responsible for appropriate backups, checks, approvals, safety procedures and legal compliance in their own operations.
18. Changes to these Terms
We may update these Terms. Material changes will be published with a revised effective date and, where appropriate, notified in the Service or by email. Continued use after the effective date constitutes acceptance of the revised Terms.
19. Governing law
These Terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory rights that apply.
